Job Title: Project Accounts Coordinator – SPEED Project

Reports To: Project Coordinator/ Sr. Accounts Officer/ Director/Donor 
The Accounts Coordinator is the finance in-charge and Admin (HR) of the project and will be responsible for making available financial resources to the staff implementing the project, train them in the use of funds, prepare accounts reporting and ensure accountability in the use of finances on a ‘value for money’ principle followed by the organisation. The Accounts Coordinator will support the Senior Accounts Officer of the organisation to manage the organisational bank account.

About SPEED Project


Safe Protective Enabling Environment and Dignity for POCs (SPEED) aims to provide support to asylum seekers and refugees in Haryana and Punjab. It is implemented by the Development and Justice Initiative (DAJI) in collaboration with Catholic Relief Services (CRS). The project integrates components such as Protection (GBV, child protection & psychosocial support), Shelter, WASH, Health, and Livelihoods. Through these components, the organization supports the targeted population and host communities, ensuring their protection and enabling them to lead dignified lives. 

 

Following are the specific roles and key areas of responsibility:
  • Making payments and receiving receipts as necessary for the implementation of the project and recording them in accounting software (Tally) in a timely manner.
  • Ensure compliance with the procedures as in the organisation’s Finance Policy while making any payments (or) receiving funds.
  • Make necessary journal entries for correct accounting and as per procedures.
  • Ensure necessary documents are maintained for all transactions that are accounted for in the software.
  • Support Senior Accounts Officer to manage the bank accounts
  • Preparing Bank Reconciliation statement periodically as per practice Budgeting and Reporting
  • Prepare monthly fund request for the project team Prepare variance report with narratives.
  • Track the fund request against utilization of funds over a period; highlight issues pertaining to variance to Senior Accounts officer and Director.
  • Ensure legal payments such as TDS, Professional Tax and Service Tax as applicable are paid in time and the reports pertaining to them are submitted on time.
  • Provide the Sr Accounts Officer with necessary information, documentation as necessary for completion of timely audit.
  • Maintain the admin and HR file of all project staff.
  • Ensure all applicable statutory compliances are duly met.
Experience required:


Minimum of two years’ experience in similar NGO accounting positions in NGOs Key skills required:

  • Working knowledge in Tally ERP
  • Good knowledge of computer – Windows and Microsoft Office applications (Outlook, Word, Excel)
  • Familiarity with email and other forms of communication and holding online meetings.
  • Good Hindi and English language skills.
  • Ability to work as a part of a team as well as on one’s own.

Educational qualifications: Minimum requirement of a Graduate degree in commerce and accounts.
Compensation: Rs 45,000 to 50,000 per month, commensurate to candidates’ qualifications.

Development and Justice Initiative (DAJI) is looking to appoint staff for the COVID -19 Response and Recovery Project that aims to mitigate the effects of COVID19 pandemic on refugees and host communities in North India.

About the organisation

Development and Justice Initiative (DAJI) works with marginalized, displaced and disenfranchised communities to empower them to access rights, services and protect their freedoms. We work with refugees, minority communities, displaced people and people at risk of statelessness through community mobilization, education, training and providing humanitarian support to the communities in times of need. We conduct research and network with other organisations aimed at strengthening advocacy. Our activities to mobilise the marginalised communities involves education, communication and training members of the communities to understand their rights under Indian and international laws. About the project

The COVID -19 Response and Recovery Project is a 2-year initiative of DAJI-CRS that aims to provide assistance to refugee and host communities to survive the pandemic with dignity and restore their lives and communities. The project seeks to provide support and services in the areas of health, livelihoods and protection (including GBV, child protection & psychosocial support).

  1. Job Title: Project Coordinator

Reports To: Project Director/ Donor

The Project Coordinator will be responsible for the day-to-day implementation of the project as agreed between the partners of the project. She/he will be responsible for mobilising the target communities, training, humanitarian relief, advocate for access to services for the beneficiaries, promote livelihoods, data collection and analysis and reporting.  She/he will be a part of a team with responsibility to help staff with planning, implementing and monitoring project activities as well as participate and lead some of the activities.

Following are the specific roles and key responsibilities

  • Plan, coordinate and monitor project activities as in the project plans and ensure quality of outputs and proper methods of implementation in the spirit of transparency and participation and focus on achieving results.
  • Work closely with the target communities, their representatives and service providers to resolve the issues faced by the community and implement project activities.
  • Use the medium and holding meetings and other means of communication with the project implementation team to share information and verify data on activities done
  • Coordinate with the Project Director and Accounts coordinator to implement project activities in a timely manner, gather data, undertake analysis and prepare reports for submission to the Donor.
  • Undertake advocacy initiatives with service providers and local government representatives to strengthen access to services.
  • Identify and report challenges and gaps in the project implementation and suggest modifications to project plans.
  • Support data collection for project evaluation processes and implement any changes to the project plans in accordance with evaluation and accountability.
  • Coordinate MEAL Activities planned as part of MEAL Plan with the MEAL Officer and with the Field staff to ensure timely data collection and analysis.
  • Identify capacity building needs of the project staff and support the Project Director in planning and implementing staff training activities.
  • Document project activities including planning meetings, community meetings etc and identify good practices for replicating in all project locations.
  • Coordinate with Accounts Officer for financial planning, support in preparation of cash forecast in line with the project implementation plan, drafted by the program team / project coordinator., utilisation of project funds in a timely and efficient manner and in accordance with the policies of the organisation.
  • Support the Director in conducting periodic appraisal of staff performance and adherence to policies of the organisation.

Experience required:

Candidates applying for this post must have worked with refugees/ migrants/ urban poor in similar capacities for a minimum of five years.

  1. Job Title: MEAL Officer

Reports To: Project Coordinator/ Project Director/ Sr. Accounts Officer/ Donor

Country/Location: Delhi

The MEAL officer will lead the monitoring, evaluation and learning activities of the project by working with the project staff to gather and maintain data related to project implementation and evaluate the results of the activities and help the team in learning.

The MEAL officer shall be responsible for managing project’s monitoring and evaluation activities, supporting program teams and data management systems. She/ he will manage monitoring and evaluation related work flow processes among project staff, provide ongoing training and support to staff to maintain consistent monitoring tools and indicators.

Following are the specific roles and key areas of responsibility:

  • Coordinate data gathering, compilation and analysis related activities
  • Support field staff in gathering data, prepare templates and train them in using the templates and analysing the data for monitoring and evaluation.
  • Develop reports for proposals and presentations
  • Share the results of the MEAL activities with the target communities in consultation with Project Coordinator.
  • Assist project implementation team in developing easily accessible data summary tables and views
  • Assist the organisation’s Director in responding to data related requests from the donor and other external stakeholders
  • Coordinate MEAL related activities taken up by the donor in consultation with DAJI Director
  • Promote learning among the project staff via meetings, online conferences and stakeholder engagements
  • Work in collaboration with the accounting staff for efficient use of financial resources.

Experience required:

Minimum of four years’ experience in similar ME positions in NGOs

Key skills required

  • Familiarity with spreadsheets and databases
  • Strong English writing, speaking and listening skills,
  • Ability to distil data and create presentations for different audiences
  • Ability and skills to work with refugee and urban poor communities
  • Good knowledge of computer – Windows and Microsoft Office applications (Outlook, Word, Excel)
